A fax machine is a great tool for sending over documents without changing the physical version of it. When sending documents over, the information is converted to an electronic signal and sent over through the phone line to the other location. Even now, when scanning and emailing is gradually replacing the fax machine, this device is still being used in many businesses especially when documents need to be signed.

To successfully complete the process of faxing a document, several components are required. First, you need to fax machines to communicate with each other using their own private numbers also known as fax numbers. A fax number is dialed just like a regular phone number in order to send a fax to the other end. Most companies only have 1 fax machine so it takes time to recieve multiple orders since a fax machine can only print one page at a time. There are many fax machine models available and they can generally only communicate with the same model but newer models of fax machines are backwards compatible so they can communicate with older models.

When you send fax using a fax machine, a paper is inserted to the scanning machine and the right fax number is entered. The scanning machine will then read the paper and divide the information to where it scans black and where it scans white. Some fax machines can read colored documents while most fax machines can only read black and white. After scanning the document, the information is transferred through the phone line to the fax machine of the specified fax number.

To recieve faxes, the fax machine recieves information from the other line. Fax machine responds to incoming faxes automatically. The machine gets the incoming signal. then translate the information. the information is then copied by the printer section of the fax machine. The information relays what part of the paper needs to be in black and what part of the paper needs to be white, and printed dot by dot.

Brother International offers a fax machine line that can help businesses to fax broadcast. Fax broadcasting is a process of sending a document over using a fax machine, wherein that document will be sent over to multiple fax machines.
4. Keep repeating step 3 until you have entered all the numbers you wish to send the fax to.

5. To start broadcasting the fax document, press the black “START” button located on the control panel.

Tips & Warnings

At one time, fax machines were a very typical way to send documents from one location to another. Fax machines are still used today but they are not considered as reliable as the other options that are available. To send a fax, the sender and the receiver must both have access to fax machines. If not, then there are stores–such as Office Depot, Kinko’s, and Staples–that allow you to fax documents from the store for a price.

1. Convenience

Sometimes it is crucial to receive a document as quickly as possible. Fax machines are a great alternative if it is a paper that can not easily be sent through email.

2. Speed

Using a fax machine is so much faster than sending an item through the Postal Service. This is important if you are working on a strict deadline and need to send a document quickly. Instead of paying more for the cost of express shipping, you can simply fax it to the recipient.

3.Efax Services
You can turn your computer into a fax machine if you do not have one by signing up with an Internet faxing company such as efax. With efax, you simply run a software on your computer that allows you to use it as a fax machine.

4. Phone Connection Reliability

Using a fax machine makes you rely at the mercy of a reliable phone line, or Internet connections if you’re faxing online. If there is a signal outage for either of these, shipping it via express mail would be more reliable.

5. Requires a Human Recipient

It’s not just your machine you have to worry about to assure that your fax gets received, you also have to see that the recipient’s fax machine is on and is available to accept. To prevent any possible problems with paper jams or a lack of ink in the fax machine, another person must be able to confirm receipt of the fax and that it is printed correctly.

Internet faxing works through the process of sending and receiving faxes via your email system and the Web. It is simple and typically more efficient than standing at a fax machine, where paper jams sometimes happen. All you have to do is attach a file too an email message and address the message too the recipient’s fax numeral (i.e. 18004351445@fax2mail.com). The service translates the attachment so that a fax machine could read it and sends the data across. The recipient’s fax machine decodes the data and prints the message. To receive a fax message from a traditional fax machine with a web fax account, you’ll enjoy the ease of receiving your fax in your email inbox. The fax will show in an attachment that one could open and/or be saved in your files.

Subsequently you can pick an online fax service provider, you can set up a local or toll-free fax number or choose to preserve your present number. You could use an online site or an email program like Windows Outlook.

Because you can use web faxing with your email program, you will truly enjoy the convenience of sending and receiving faxes virtually wherever you are, whether you’re in the office or in your car. Web faxing also make occupied signals a thing of the past. You have a dedicated fax number that is constantly active. You don’t have to always check your fax machine to ensure your fax is received. You can receive fax messages 24 hours a day, 7 days a week and the sender will never get a occupied signal.

When looking for a perfect fax machine, you must consider quality, price and the special features. If you need to send faxes but not receive them, you can consider a fax modem as an alternative.

1.	Determine the type of fax machine you want. There are variety of choices to choose from, a film-cartridge fax machine to get mediocre print quality or maybe an ink-jet fax machine to get better print quality for a slightly higher price but the highest cost of use. Purchase a laser fax machine for good print quality if you can afford to pay more. If you expect to receive a lot of faxes, the higher purchase price will quickly be offset by the lower cost of use.

2.	Look for a machine with 4 choices for image quality.

3.	Make sure the machine has the ability to print 64 shades of gray if you’ll be receiving and copying both text and images. Color-capable machines are also available, but they cost a lot of money.

4.	Determine how many speed-dial numbers you’ll need, if any.

5.	Consider whether you need an integrated digital answering machine.

6.	Compare each model’s feeding capacity for multiple pages, storing received faxes when the machine is out of paper and “broadcast” faxing to a group of recipients.

7.	Evaluate if the machine is user-friendly.

8.	Check for advanced business features, if necessary, such as the ability to ‘poll’ other fax machines, delayed transmission, copy reduction and enlargement, and ’shrink to fit’ 8 1 /2-by-11-inch pages.

9.	Allocate a budget for everything you’ll need, such as paper, extra cartridges, a surge suppressor and a service contract.

10.	Check the service contracts offered by the dealer if they include maintenance, cover normal wear and loaner privileges.

11.	Base your final decision on the total functionality and initial and ongoing costs.
